President / Co-President
- Provide overall leadership and vision for the collective.
- Facilitate meetings, ensuring all voices are heard and decisions reflect group consensus.
- Serve as the main representative of the collective in external relationships.
- Support and mentor other officers, helping them succeed in their roles.
- In a co-president model, divide leadership responsibilities equitably and act as checks/balances for one another.
- Co-presidents will be cross trained in all areas for support and visibility.
Treasurer
- Reports directly to co-presidents.
- Manage the collective’s finances, including budgeting, income, and expenses.
- Maintain transparent financial records and share regular updates with members.
- Oversee banking, accounting, and tax responsibilities as needed.
- Ensure accountability in the use of funds for projects, events, and grants.
- The treasurer will give a monthly financial report at H.E.X. meetings.
Secretary
- Reports directly to co-presidents.
- Keep accurate minutes of meetings and circulate them to members.
- Maintain records of policies, decisions, and collective history.
- Coordinate meeting agendas with leadership and distribute them in advance.
- Ensure communication channels remain organized and accessible.
Public Funding & Grants Manager
- Reports directly to co-presidents.
- Research and track grant opportunities relevant to the collective’s mission.
- Write and submit grant applications, with input from other members.
- Build relationships with funders, donors, and community supporters.
- Maintain records of deadlines, applications, and reporting obligations.
Collective Membership Chairperson
- Reports directly to co-presidents.
- Welcome and onboard new members into the collective.
- Maintain the membership roster and ensure active participation.
- Create opportunities for engagement, collaboration, and care within the group.
- Mediate concerns or conflicts related to membership when necessary.
Public Relations / Social Media Manager
- Reports directly to co-presidents.
- Manage the collective’s public image across social platforms.
- Create and schedule posts highlighting events, projects, and member work.
- Engage with followers, respond to inquiries, and strengthen community presence.
- Coordinate with the Newsletter Editor and Website Administrator for consistent messaging.
Exhibition / Event Coordinator
- Reports directly to co-presidents.
- Lead planning of exhibitions, showcases, and community events.
- Coordinate logistics such as venues, timelines, and technical needs.
- Serve as main contact for artists, vendors, and collaborators.
- Ensure events align with the collective’s values and aesthetics.
Assistant Event Coordinator
- Reports directly to the Exhibition / Event Coordinator.
- Support the Exhibition/Event Coordinator in planning and execution.
- Manage smaller logistical tasks (e.g., volunteer scheduling, supply gathering).
- Step into leadership if the Event Coordinator is unavailable.
Newsletter Editor
- Reports directly to Public Relations / Social Media Manager.
- Curate and edit content for the collective’s newsletter.
- Collect member updates, event announcements, and features.
- Design and distribute newsletters on a consistent schedule.
- Work closely with PR/Social Media to align communications.
Website Administrator
- Reports directly to Public Relations / Social Media Manager.
- Maintain and update the collective’s website with current information.
- Ensure accessibility, security, and ease of navigation.
- Post event details, artist profiles, and project updates.
- Coordinate with PR, Newsletter, and Membership Chair to keep information unified.
Committee Chairperson
- Reports directly to the Collective Membership Chairperson.
- Lead a specific committee (e.g., programming, fundraising, outreach).
- Organize committee meetings, set agendas, and report back to leadership.
- Ensure committee work advances the collective’s mission.
- Empower members to contribute ideas and labor within their skills.
Committee Co-Chairperson
- Reports directly to the Committee Chairperson.
- Support the Chairperson in managing committee responsibilities.
- Step in as acting chair when needed.
- Provide additional leadership, ensuring tasks are shared and workload is balanced.
